Planning wedding flowers can feel exciting… and overwhelming all at the same time.
You’ve probably spent hours saving inspiration photos, pinning bouquets, imagining your ceremony space, and wondering how all of those ideas actually come together into a cohesive design for your wedding day.
At Heirloom Floral Co., we believe the floral process should feel inspiring, collaborative, and genuinely enjoyable from beginning to end. Our goal is not only to create beautiful flowers, but to create an experience that feels thoughtful, personal, and easy for our couples.
Whether you already have a clear vision or have no idea where to start, we guide you through the process step by step.
Here’s what it’s really like to work with Heirloom Floral Co.

Step One: Reach Out + Tell Us About Your Vision
Every Heirloom wedding begins with an inquiry through our website. This gives us a chance to learn more about your wedding date, venue, floral needs, style inspiration, and overall vision for your day.
We know every couple is different. Some clients come to us with a fully curated Pinterest board while others simply know they want their wedding to feel romantic, timeless, modern, colorful, garden-inspired, moody, elegant — or somewhere in between.
That’s exactly what we’re here for.
During this stage, we’re looking at:
Your venue and overall aesthetic
Your floral priorities
Your guest count and design needs
Your inspiration photos
Your investment range
The overall feeling you want your wedding to have
Most importantly, we want to get to know you.
Step Two: Consultation + Connection
Once we review your inquiry, we’ll schedule a consultation to talk through your vision in more detail.
This is one of our favorite parts of the process because it allows us to truly connect with our couples and understand what matters most to them.
We’ll talk about things like:
Your wedding style and color palette
Your ceremony and reception spaces
Floral priorities and focal points
Personal details that are meaningful to you
How you want guests to experience your wedding day
Our consultations are designed to feel relaxed and collaborative — not intimidating. You do not need to know flower names or have every detail figured out before we meet.
That’s our job.
Step Three: Custom Proposal + Design Direction
After your consultation, we create a custom floral proposal tailored specifically to your wedding day.
This proposal outlines the floral elements we discussed and provides an estimated investment based on your needs and priorities. Depending on your wedding, we may also begin pulling together visual inspiration and design direction to help bring the overall vision to life.
Because every Heirloom wedding is custom designed, we intentionally avoid “one size fits all” floral packages. Instead, we create designs that feel personal to each couple and thoughtfully connected to the overall atmosphere of the day.
We also know that priorities sometimes shift during planning. Our proposals are flexible and can evolve as details become more finalized.
Step Four: Booking Your Date
Once you’re ready to move forward, we’ll secure your wedding date with a signed contract and retainer payment.
After booking, you’ll receive access to your client portal where everything can stay organized in one place — including invoices, questionnaires, inspiration, and communication throughout the planning process.
Our goal is to make things feel simple and streamlined so you always know what to expect next.
At this point, you officially become a Heirloom couple — and we begin dreaming up all the beautiful details alongside you.
Step Five: The Design Process
This is where everything begins taking shape behind the scenes.
Throughout the planning process, we continue refining your floral vision as additional details come together. We may collaborate with your planner, venue, photographer, rental company, or other vendor partners to ensure the floral design complements every part of the day beautifully.
As your wedding approaches, we consider:
Seasonal flower availability
Color balance and texture
Installation mechanics
Table layouts and guest flow
Repurposing opportunities
Candlelight and styling details
Overall visual impact
Our design style is rooted in organic movement, thoughtful layering, and creating florals that feel naturally gathered while still elevated and intentional.
We want your flowers to feel like they belong perfectly within your celebration — never generic or overly manufactured.
Step Six: Your Final Design Meeting
Around 60 days before your wedding, we’ll schedule your final design meeting.
At this stage, most couples have finalized guest counts, layouts, timelines, and remaining details, which allows us to confirm everything needed for production week.
During this meeting, we’ll review:
Final floral counts
Updated timelines
Ceremony and reception logistics
Installation details
Design updates or additions
Delivery and breakdown plans
This meeting is designed to bring clarity and confidence heading into the final weeks before your wedding day.
By this point, our couples can relax knowing all the details are being thoughtfully managed behind the scenes.
Step Seven: Wedding Week
Wedding week is where the magic starts happening.
Our studio becomes filled with flowers, greenery, vessels, candles, ribbons, mechanics, and countless behind-the-scenes details that most people never see.
Every stem is processed with care. Installations are carefully planned and prepped. Bouquets are hand-tied and refined. Mechanics are tested. Timelines are coordinated.
There are many moving parts behind a wedding day, and our team works intentionally to ensure your florals arrive fresh, cohesive, and beautifully executed.
Step Eight: Wedding Day
On wedding day, our team handles delivery, setup, installations, styling, repurposing, and all floral-related logistics so you can fully enjoy the experience.
This is the moment where months of planning come to life.
The ceremony florals.
The candlelit reception tables.
The bouquet you’ve been imagining for months.
The reaction when you walk into the space for the first time.
Those moments matter deeply to us.
Our job is not simply to “drop off flowers.” It’s to help create an atmosphere that feels meaningful, immersive, and unforgettable.

More Than Flowers
At Heirloom Floral Co., we believe flowers have the ability to transform not only spaces, but experiences.
They create atmosphere.
They tell stories.
They become part of your memories.
We are incredibly honored every time a couple chooses us to be part of such an important season of their lives, and we never take that trust lightly.
If you’re looking for a floral experience that feels collaborative, intentional, artistic, and genuinely personal, we would love to connect with you.
We can’t wait to hear your story and bring your vision to life.
